The law of Ukraine "On National Archival Fund and archival institutions" obligates all enterprises and organizations of Ukraine independently of the pattern of ownership, including legal entities (entities of entrepreneurial activity) to provide safety of documents which had accumulated during their activity.
Drawing up of files nomenclature is one of the most important stages of conduct of official documentation at the enterprise.
The files nomenclature is the systematized and indexed list of the files which created in office work of enterprise and its structural departments. In this list point out files’ shelf life. The list of files has established the order (DSTU 2732-94 "Office work and archival affair”. Terms and determinations). The files nomenclature is conducted for creation of one system of files forming, providing of their account, rapid search of documents by content and kinds, and also their selection for including to the National Archival Fund.

The summary files nomenclature of businesses is liable to concordance with the corresponding state archive or state body of higher level one time in five years or without delay in the case of substantial changes in pattern of ownership, structure, functions and establishment work pattern.
